This guide gives you everything you need to get started, stay organized, and get the most out of your AI-powered system.

IMPORTANT: You do not need to turn anything on. The system is live and running.


🤖 How Your AI Works

Your AI Assistant does all the following automatically:

  • ✅ Reaches out to new leads via text and voice

  • ✅ Books appointments directly into your GoHighLevel calendar

  • ✅ Sends confirmations at 72h, 48h, 24h, and 2h before appointments

  • ✅ At 48 Hours, the AI will call to remind the lead of their appointment

  • ✅ Follows up with no-shows and inactive leads

  • ✅ Reactivates old leads with campaigns

  • ✅ Moves leads automatically through your MVP Pipeline based on interaction

You’ll receive email alerts when:

  • A patient books

  • A patient confirms or doesn’t respond


📍 Where to Check Everything

Here’s where to find all the important things inside your GoHighLevel dashboard:


📅 View Your Appointments
Go to the Calendar tab.
This is where all AI-booked appointments show up in real time.


💬 See Conversations (Texts & Calls)
Go to the Conversations tab.
You’ll see every text, call, and AI interaction with your leads here.


📈 Track Lead Progress
Go to Opportunities > MVP Pipeline
This is where leads move through stages like New, Engaged, Scheduled, No Show, Follow-Up, etc.


🕒 Change Your Business Hours or Block Days Off
Go to Calendars > Settings > Availability
Update your working hours or block days you’re unavailable. The AI uses this to schedule appointments correctly.


📊 Run Reports
Go to Reporting > Agent Reporting

  • Choose your date range

  • You can leave the agent field blank (or select one if needed)

  • Scroll down to see calls, appointments, and conversion metrics

  • Filter by “MVP Pipeline” to track booked appointments and outcomes

📊 Understanding the MVP Pipeline

You’ll manage all your leads from the Opportunities > MVP Pipeline. Here's what each stage means:

  • Old Leads – Previously inactive contacts

  • New Leads – Fresh leads just entered the system

  • Engaged – The AI is texting or calling them now

  • Scheduled – Appointment has been booked

  • No Show – Did not attend appointment

  • Follow-Up – Asked to be contacted later

  • Signed Up for Care – Became a patient

  • Do Not Disturb – Requested no further contact

✅ You or your team should move a lead manually to “Showed,” “No Show,” or “Not Interested” after the appointment.

📥 Importing Old Leads into the AI System

If you want the AI to follow up with old leads, the fastest way is to send us the lead list so we can import it for you.

The best way to do this:

  1. Export your lead list as a CSV file.

  2. Email the file to [email protected].

If you don’t have the file handy but the leads are already inside your GoHighLevel account, just tell us which Smart List or Tag they are under, and we’ll pull them directly from there.

Once imported, the AI will automatically begin reaching out, following up, and booking appointments — just like it does with new leads.

Q: How do I make changes to the script or offer?
Email [email protected] with the old line and the new one.

Q: What happens if a patient doesn’t respond to confirmations?
We’ll keep trying — and your team will get notified 24h before if they still haven’t replied.

Q: How do I stop bookings on certain days?
Block them off in Calendars > Settings > Availability

or go into that calendar and block off that time manually

Q: Can I use a custom voicemail?
Yes! Just record it and send us the audio file.

Q: Do I need to check this every day?
Only once a day: check your calendar, pipeline, and emails. That’s it.
